Telephone & Voice Message Use

Because some business is conducted over the telephone, it is essential to project a professional telephone manner at all times. Professionalism includes, for example, answering the telephone in a timely and courteous manner, responding to the caller’s request, minimizing the length of time a person is placed “on hold” before checking back with them for other options in a polite manner, taking and forwarding messages in a timely manner.

The voice message system is the property of Community Animal Clinic and is provided for use in conducting business of the practice.

All communication and information transmitted by, received from, or stored in these systems are practice records and the property of Community Animal Clinic. Therefore, Community Animal Clinic, in its discretion, reserves and may exercise the right to monitor, access, retrieve, and delete any information stored in, created, received, or sent over the voice message system, for any reason without the permission of any employee and without notice. Even though Community Animal Clinic reserves the right to retrieve and listen to any voice message, those messages should still be treated as confidential by other employees and accessed only by the intended recipient. Employees are not authorized to retrieve or listen to any voice message that is not sent to them, without prior approval from Dr. Beamer.
