PTO is earned and paid on a calendar year basis. The first year’s PTO may be pro-rated or rolled over into the first calendar year, dependent upon the initial date of full-time employment.

Employees may not use unearned PTO during the year, except in the case of an extended absence from work due to illness or injury and, then, only PTO for the year in which the extended absence occurs and with the expressed permission of Dr. Beamer. Upon voluntary separation of employment with 2 weeks’ notice, employees will be paid for earned and unused hours through the quarter, as of the time of their employment separation. If an employee has used unearned PTO due to an extended absence from work and their employment is thereafter separated during the same year, they will be required to reimburse the practice for the unearned PTO which they used.

If an employee voluntary leaves without 2 weeks notice or their employment is terminated, PTO days will not be paid beyond the last day worked.

PTO needs to be scheduled and approved in advance with Dr. Beamer or her designee. Employees need to make PTO requests as far in advance as possible. Based on practice needs, Community Animal Clinic will attempt to grant an employee the PTO he or she requests

Employees are encouraged to work together to ensure adequate coverage during their absence.

In the event of a conflict in choosing a specific PTO day(s) beyond that which the practice can accommodate, length of service with the practice will serve as the determining factor.

PTO days may not be carried over from year to year, except in the event of PTO scheduled (and approved by Dr. Beamer) around the year-end holidays. Unused PTO will be paid in December.

If a holiday recognized by the practice falls during an employee’s PTO, holiday pay will be provided instead of the PTO day that otherwise would have been applied.

PTO does not count toward the accumulation of overtime pay.
